Adult Volunteers - Be a Hero and Volunteer for Hero Quest and Summit

We are seeking adult volunteers (18+) who are passionate about helping and mentoring both our young attendees at Summit and our Youth Leaders at Hero Quest.  We have many roles from helping with Equipment, Check-in, Mentors, and many other exciting and fun service roles.  Volunteering is a rewarding experience — many of our volunteers return year after year!

Volunteer Q&A

Heroic Youth is 100% volunteer-run, which means we need you! Youth are supported in their leadership responsibilities by adult mentors and volunteers. To successfully put on the program for your children, we ask that each family provide one volunteer. You do not need to provide an additional volunteer for every additional youth or child participant in your family. Your family’s volunteer can be a parent, sibling, aunt or uncle, grandparent, or even a friend. Being a member of the Opposition Forces counts as your family volunteer contribution, but it requires a separate registration on our Join the Final Battle page.

We encourage you to make your participation in the program a family activity. Our veteran families have found that the program can be a significant uniting factor in their home. Your youth and kids will be overjoyed to see you participating with them!

Adult volunteers need to be 18 or older.  Youth ages 13-18 and adults may volunteer as Opposition Forces.  Please visit Join the Final Battle for information about volunteering as a member of the Opposition.

All volunteers are expected to exemplify the Hero's Creed in their assignments.

  2. See a need, fill a need (unless it conflicts with #1)
  3. Perform with exactness
  4. Return and report
  5. Be gracious

In summary, you will be expected to joyfully and diligently fulfill your assigned responsibilities and stay in your designated areas.

Volunteers are also expected to:

  • Not follow their child(ren) around the main event venue, unless that is part of an assignment
  • Arrive on time to training events and the main event
  • Be fully prepared to fulfill assignments in a timely manner.

Volunteers arrive between 6:30am and 9:00am, depending on your volunteer role.  A Volunteer Committee member may make other arrangements with you to accommodate your schedule, depending on what is needed for the year.  Please contact the Volunteer Committee with questions via email at volunteers@heroicyouth.org.

If you will be at the main event, you must attend 1-3 in-person training events relevant to your role, in addition to a 10 minute online Youth Protection Training, to ensure that all participants are safe and have the tools to have a wonderful time. Volunteers who will not be at the main event are not required to attend in-person training but may be asked to attend virtual trainings or meetings to coordinate assignment details.

  • If you are volunteering for Hero Quest, you'll need to attend the two Adult Hero Quest Trainings and the General Summit Training.
  • If you are volunteering for Heroic Youth Summit, you need to attend the one General Training for everyone and depending on your role, potentially another training put on by the committee head working with you.
  • If you are volunteering for both, you will need to attend the two Adult Hero Quest Trainings and the General Summit Training.

Children under age 8, including infants, are not allowed at the event, except for some extenuating circumstances. If you have children in this age range and would like to volunteer at the event, please make arrangements for them to be cared for outside of the event venue. If this is not an option for you, please consider volunteering remotely.

Most roles will not end in time, so please make arrangements for your child to be picked up as soon as the event is over. You need to be able to continue to focus on your volunteer role, and the adult volunteers with stewardship over your child need to be able to complete their assignments and go home in a timely manner.

All volunteers at the main event must wear a costume. They do not need to be elaborate. Certain roles may be provided with designated costume pieces such as tabards, sashes, or an overdress.

Costumes must be worn underneath any pieces provided. Costumes can be simple and made from items you already have in your home. Please see our Costume Guide page for more details and costume suggestions.

Main Event Roles

It’s important to note that most main event roles are available in shifts. Some roles require that you attend all day for either Hero Quest (Thursday alone), or Summit (Friday and Saturday) combined. Some roles require pre-event preparation on your own time. (For Opposition Force volunteers click here.)

Adult Mentors

Matrons/Ladies and Sergeants/Lords: Adult male and female pair (preferably husband and wife) who attend all day on Friday and Saturday to assist the youth with supervising the 8-12-year-old boys/girls, coordinate snacks, care for physical needs, and echo important story points during the simulation.

Cast

Act in a small or large character role. Some roles include running an activity station or traveling around the venue with a group of participants during the event.

Check-in/Check-out Staff

Help Thursday, Friday, and/or Saturday morning and/or afternoon/evening.

  • Volunteers, Youth Leaders, and Attendee Check-in/out
  • Costumes Check-in/out - Help keep costumes organized and check costumes in and out.
  • Armory Check-in/out - Help keep weapons organized and work with a small team to check weapons in and out.

Medical Support

Trained and licensed EMT, RN, APRN, PA, or MD, 21 years-old or older.  Under the direction of our Medical Director, medical support volunteers help with first-aid and any emergencies that may arise during summer trainings, Hero Quest, and Summit events.

Crown and Coin “Store” Staff

Help keep merchandise organized, collect payments, and complete small projects.

Photographers and Videographers

Take candid photos or videos of participants and volunteers and provide files to the Media Coordinator. Photographers and videographers should bring their own camera.

  • Photographers - Take pictures on a camera (preferably a DSLR - think: higher resolution than photos on a phone)
  • Videographers - Record in 1080HD

Logistics Staff

  • Camp/Kingdom Kits: Inventory supply kits and help with restocking.
  • Parking Posse: Kindly and assertively direct traffic.
  •  Sanitation Squad: Keep restroom facilities clean and stocked, and
    regularly empty trash.
  • Stage Crew: Help set up equipment throughout the venue.
  • Water Warriors: Help pick up, refill, and drop off water coolers.

Set-up/Take-down

Help with Tuesday and/or Wednesday set-up during the day, and Saturday evening take-down of major equipment, including unpacking and packing the trucks.

Catering Staff

Help pick up and prepare refreshments and distribute at the main event.

Security Paladin

Help direct individuals throughout the venue to proper areas.

Pre-Event & Post-Event Roles

Catering Staff

Pick up, prepare, and serve food for small events between May and September.

Costumes

Contribute your sewing skills to aid our costumer in creating and repairing costumes and some fabric decorations for the event.  Cut fabric, complete sewing projects (some skill required), iron
costumes, and more.

Laundry

Pickup laundry on Saturday of Summit (late evening) and drop off when complete. Must live in or near Salt Lake County.

Logistics Committee

Set up and take down equipment for small events between February and September.

Remote Roles

Administrative Assistant Support

Assist one or more committee leaders with clerical, documentation, and
other needs.

Coding

Assist with coding projects throughout the year. Requires access to a pro plan/paid version of Azure Cloud or .Net/NodeJS software.

Graphic Design

Assist with graphic design projects throughout the year. Requires access to a pro plan/paid version of graphic design software.

Merchandise Committee

Brainstorm and experiment with new merchandise ideas.

Video Editing Team

Assist with video editing projects throughout the year. Requires professional experience and access to a pro plan/ paid version of video editing software

Volunteer Committee

Appreciation Coordinator: Brainstorm ideas for gestures of appreciation and make physical preparations.

Volunteer Committee

Administrative Support: Assist the Volunteer Committee in an administrative role by performing clerical tasks, organizing information in spreadsheets, and/or texting/emailing information or reminders to volunteers

Volunteer Committee

Recruiting: Assist the Volunteer Committee with recruiting efforts and communicating updates and information to volunteers.
