Summit is a two-day event for ALL registered boys and girls ages 8-12 led by the Youth Leaders. Please make sure to read the information below thoroughly as there are instructions for parents, youth, adult volunteers, and opposition forces. Contact us at info@heroicyouth.org. Parking
In order to keep parking under control, please follow these guidelines to help ensure a good experience for all!
- Carpool wherever possible.
- DO NOT park illegally or block roads or other cars. Police will ticket your vehicle.
- DO NOT park or drop off attendees in or near the lower parking area, as there is business traffic during that time, and there is no one to supervise your child.
- Refer to the parking map for details on where to park, depending on your role.
- Youth Leaders - Park on the street along 900 East. Carpool where possible. If on-street parking is NOT available, you may park in the Upper North parking lot on the northwest side. You will be checking in above the amphitheater.
- Parent Drop-off/Pick-up - Park in the Upper/North parking lot. For special needs, there will be a small short-term parking zone near Check-in. Please refer to the map for overflow parking on Saturday. DO NOT park illegally or block roads or other cars. Police will ticket your vehicle.
- Oversized Vehicles - Park in the Upper/North parking lot to the west by the utility shed.
- Opposition - Park in the church parking lot north of the temple.
- Royalty & Committee Heads - Park in either the Upper/North parking lot in the RESERVED area or the Lower West parking lot on 860 East. (A large area of this lot is for ATV's, golf carts, side by side, moving trucks and trailers)
- Other Volunteers - If you have an assignment in the lower area of the park, please contact your committee head to get a special invitation to park in the lower parking lot. Otherwise, please park in the “North half” of the North parking lot - the other half is for parent drop off and pick up on Friday and Saturday. Talk to your Committee Head or Heather Fausett (801 635 0341) for clarification, if needed.
PLEASE DO NOT PARK AT THE TEMPLE!

Volunteers: Please make sure to check in when you arrive and get your wristband. Your wristband tells our security team that you are authorized to be at the venue. If you will be at the event for more than one day, you may wear the same wristband each day.

- Parents: This is a vital, REQUIRED step for all Youth Leaders. Please help them to keep their commitments by not taking them home early. Thank you.
- Check-in all loaner weapons and costumes.
- Put all your personal belongings in your vehicle. Return quickly to your camp/kingdom for take-down.
- Take down Camps/Kingdoms, clean the area, and return equipment.
- Youth Leaders - Clean up your assigned area of the park.
- Volunteers - Help take down the area where you have been volunteering.
- Report to Logistics Leads (in vests) for take-down help if you are able.
- Leave the park.
- Don’t despair. The Debrief and Ball events are still coming up! You WILL see each other again!

Check the Hero Quest Details Page for your costume information and packing list. The only change for Summit days is that you will not need to pack a dinner on Friday and schedule times may be different on Summit days.
Family and Participant Information
Participant Check-in and Check-out (children 8-12)
PLEASE NOTE: CHECK-IN AND CHECK-OUT PROCEDURES HAVE CHANGED THIS YEAR.
We’re going digital! Check-in and check-out will be mostly the same, with the addition of QR codes, as well as a second “Pickup” stage at check-out to make child pickup easier and more secure.
Your Child's QR Code - Each registered child will receive an individual QR code via email. The QR code is linked to that specific child—not to your family as a whole—and will be used for both check-in and check-out each day. If you have multiple registered children, you will receive a separate QR code for each child.
If someone other than you will be dropping off or picking up your child, please forward that child's individual QR code to the designated person before the event. They will need the QR code to complete both check-in and check-out.
Please note: If you change the designated pickup person, be sure to let us know by texting 801 842 3846 with the name and phone number of the new person. This acts as a backup for any potential glitches.
Check-in Procedure (see diagram below)
NOTE: If you are volunteering in a capacity with a specified arrival time before 9:00 AM, please follow the Volunteers with Participants Check-in Procedure below.
Check-in starts at 9:00 am Friday and Saturday. By signing a child(ren) in, parents/guardians agree to the terms of the check-in/check-out process.
- To help the process run smoothly, please have your QR code(s) open and ready before you reach the front of the line.
- Please check that your child(ren) have their lunch, a refillable water bottle, and close-toed shoes.
- Bring your child(ren) to the central Check-in area. Please join the line corresponding to your last name initial. NOTE: A separate carpool line is available for groups checking in multiple children with different last names.
- Scan the individual QR code for each registered child.
- Verify the designated pickup person. NOTE: To change the pickup person, go to the Information booth after your child(ren) have checked in, or text 801 842 3846 with the name and phone number of the new person before evening check-out.
- Once all of your registered children have been checked in, a member of the Vanguard (one of the youth leaders) will escort them to their group’s flag on the field. NOTE: Please do not follow your children to the flag area. If they forgot to take an item with them, please go to the Information booth and tell the staff your child’s name and group color. A designated adult will deliver it to them for you.
- Pages and Flag Bearers (youth leaders) will escort children to their Camp or Kingdom as groups are assembled.
- Once each child arrives at their Camp or Kingdom, the Sergeant & Matron (adult leaders in the Camp) or Lord & Lady (adult leaders in the Kingdom) will verify their arrival by marking them present in the event app.
- Please promptly leave the venue so that the parking lot can be cleared for other participants.


If you arrive after your child's group has already departed:
- Proceed to the Information booth.
- Scan the individual QR code for each registered child.
- A dedicated adult volunteer will escort your child(ren) directly to their Camp or Kingdom.
- Upon arrival, the Sergeant & Matron or Lord & Lady will mark each child present in the event app.
- Please check that your child(ren) have their lunch, a refillable water bottle, and close-toed shoes.
- First, check in as a volunteer at the Information booth.
- Proceed to the Carpool & Volunteer Fast-track check-in area.
- To help the process run smoothly, please have your QR code(s) open and ready before you reach the front of the line.
- Scan the individual QR code for each registered child.
- Verify the designated pickup person. NOTE: To change the pickup person, go to the Information booth after your child(ren) have checked in, or text 801 842 3846 with the name and phone number of the new person before evening check-out.
- Keep your child(ren) with you until 9 AM, unless otherwise specified by your committee leader.
- At 9 AM, escort your child to their flag (shield-shaped flags for boys, flowered flags for girls). Please NOTE: DO NOT leave your child at the flag if there is not a youth leader present. Wait until a youth leader arrives before leaving your child at the flag.
- Once your child is dropped off, quickly return to your assignment and report to your committee leader.
The same QR code used for check-in will also be used during check-out.
- To help the process run smoothly, please have your QR code(s) open and ready before you reach the front of the line.
- Proceed to the Check-out area.
- Please join the line corresponding to your last name initial. NOTE: A separate carpool line is available for groups checking out multiple children with different last names.
- Show your QR code for each child.
- Move to the designated Parent Waiting Area and watch for your child.
- When you see your child, proceed to the Pickup area. Please join the line corresponding to your last name initial. NOTE: A separate carpool line is set aside for groups checking out multiple children with different last names.
- A staff member will scan the QR code for each child a second time. NOTE: The second scan confirms that each child has been reunited with an approved parent or guardian and that responsibility for each child has been transferred from Heroic Youth back to you.
- A member of the Vanguard will reunite you with your child(ren).
- *After check-out on Saturday, remember to go to the lower field to get pictures with the Master Knights and Princesses at our Meet and Greet.


Thank you for helping us maintain an orderly, efficient, and secure check-in and check-out process. We appreciate your partnership in creating a safe and successful experience for every child.
Note: Parents of youth leaders: your youth leader(s) will need to stay to complete their full cleaning assignments at the end of the day. Please do not plan on them leaving before these are finished. Help support them in living the Hero’s Creed by staying at their posts. Thank you.
Participant Packing List (both days)
Every handmaiden (girl, ages 8-12) and every knight (boy, ages 8-12) needs to be prepared in order to have the best experience possible. Pre-hydrate your child as well by encouraging drinking more water for at least a week before the event to avoid heat exhaustion. We frequently experience all four seasons in one day at this time of year and it is crucial that your child is prepared for heat and for cold. Summit goes on, rain or shine. Please send the following with your child, in a backpack or bag, all items clearly marked with their name:
- Water bottle
- Sack lunch. Be generous. They will be very hungry.
- Good closed-toed shoes. Even though the girls will be wearing dresses, they need to have closed-toe shoes so they can run and play in the park. Running shoes are best.
- If weather indicates it, a warm jacket and/or rain poncho
Note: There is no dinner provided on either day. The Camp and Kingdom leaders will be arranging snacks with the families, but please send a very generous lunch with your child. Plan on eating dinner soon after the event on both days.
Participant Dress Code
- Dresses can be princess-style or simply Sunday style. These dresses will be worn during active play in the park, so please keep that in mind when selecting what they will wear.
- No long trains, huge trailing sleeves, or hoops in the skirt.
- Dress in layers to accommodate fluctuating temperatures.
- Good fitting, supportive, closed-toe shoes are required to be worn at all times while on the premises.
- Athletic pants or cotton slacks are better than jeans
- Shorts are allowed for child participants, but keep the weather in mind
- No inappropriate slogans on shirts

Closing Ceremonies and Celebration (4:00 PM on Saturday)
We highly encourage parents and siblings to attend to support and give their child(ren) a triumphal entry as the hero(es) of their story. Please note that there is no “Family Viewing Area” for the Final Battle. It may be tempting to go find your child when you arrive; however, they need you to cheer them on as they come back victorious to the Throne Room (amphitheater) for closing ceremonies. Camp and Kingdom leadership generally take photos and are encouraged to share them with parents.
Please arrive at the Amphitheater by 4:00 pm. Park in the North Upper Parking Lot (see parking map) then find a seat at the amphitheater and you will be given instructions. Remember that this is a simulation for the attendees, so do not distract them from the experience they are having by approaching them in their Camps (knights) or Kingdoms (handmaidens) or while they are participating in activities. The best way to see what is happening at Summit is to Volunteer!
You can add to your child’s experience by dressing up, where possible, by cheering for them at closing ceremonies, and, most importantly, by discussing their experience with them afterward to help cement the lessons they have been learning at Summit.
Parents and Siblings, please bring/wear:
- Sunscreen
- Hat
- Water bottle: We have water to refill them as needed.
- Something soft to sit on: You may want to bring something soft to sit on as the amphitheater steps are hard and can get really warm in the sun.
- Dress up, if desired
After closing ceremonies, parents follow check-out procedures outlined above. Parents of youth leaders: your youth leader(s) will need to stay to complete their full cleaning assignments after the meet and greet. Please do not plan on youth leaders leaving before these are finished. Help support them in living the Hero’s Creed by staying at their posts.

No unregistered volunteers or adults will be allowed at the event for the safety of our participants. All registered volunteers must have completed the Heroic Youth Youth Protection Training or they will not be allowed to enter the event.
All volunteers, please make sure you have done the following:

Complete Registration (if you don’t have an assignment yet) or the Event Waiver (if you have an assignment already).
- Take the Heroic Youth (HY) Youth Protection Training: For the safety of the youth, all volunteers are required to complete our free online 10 minute Youth Protection Training course. If you have completed the online Heroic Youth training within the last 12 months, that counts toward the requirement.
- Please make arrangements for your child(ren) who are not participating to be cared for outside of the event venue. Additionally, children under age 8 are not allowed at the event, except for some extenuating circumstances.
- Please make arrangements for your participating child(ren) to be picked up as soon as the event is over. You need to be able to continue to focus on your volunteer role, and the adult volunteers with stewardship over your child need to be able to complete their assignments and go home in a timely manner.
Volunteer Reminders
- If you do not have an assignment for Thursday or Saturday afternoon, please consider joining the final battle opposition forces, especially at Hero Quest on Thursday. We are always VERY much in need of opposition members!
- All volunteers must wear a costume. It can be very simple. Please refer to the costume guide on the website for guidelines.
- Wear sturdy, close-toed shoes to avoid hurting your feet in the hilly, rocky park. Tennis shoes work great even though they don’t match your costume - everyone wears them.
- Be prepared to get hot and tired. Please keep your costume light, and bring cooling devices like an evaporative cooling towel or neck fan.
- No meals will be provided at the event and food deliveries are not allowed. They detract from the carefully cultivated simulation atmosphere. See packing list for more info.
- Start drinking water at least a couple of days before the event to prevent dehydration and heat exhaustion, even if you plan to drink plenty of water on the day of the event.
- Bring electrolytes. If you bring any sports drinks, please stay away from flavors with blue or red dye—these can easily ruin costumes.
- Arrive on time. Please arrive with enough time to get in costume before your assigned arrival time. If you are unavoidably running behind, notify the Volunteer Coordinator: 801-842-3846.
- When you arrive, please check in first, then report to the committee leader in your assigned area. You will be given a wristband at check in so security knows you are allowed in the park.
- Address everyone as sir/lady. Use courtly language whenever possible to add to the atmosphere for the participants and other volunteers.
- Exemplify the Hero's Creed—the participants look up to you!
- Stay in character. Even if you are in a background role, you should be familiar with the simulation (read the plot for Hero Quest and Summit—if you need a copy, please reach out to your committee leader, or the Volunteer Coordinator at volunteers@heroicyouth.org). Have fun acting as a citizen of the land, especially if you run into participants. It helps them really get into the simulation!
- If you find yourself without a specific assignment to fulfill during any given part of the day, please see a need, fill a need. If all needs have been filled, make a friend, ask questions about the plot or Heroic Youth, and experience what is going on around you.
Volunteer Packing List

- Hand-held umbrella for blocking sun and/or rain

- Sunglasses and/or sun blocking hat, bandana, etc.
- Evaporative cooling towel or neck fan (optional but encouraged)
- Camping chair or blanket - there will not be chairs available for everyone to sit during times of low activity
- Costume
- Backup battery pack(s) for your phone, especially if you are assigned to a check-in area, cast role, messenger/runner role, or will be a Lord, Lady, Matron, or Sergeant.
- Plenty of food for all three meals, in an insulated cooler or lunch box. NO food delivery is allowed and volunteers should not be leaving the park during lunch unless authorized by your committee leader.
- 2-3 hearty snacks (see below for suggestions)
- Supplies for your volunteer role, if applicable
- A sword or other approved weapon if you will be opposition
You will DEFINITELY get hungry throughout the day so your snacks should be hearty! Be generous. You should bring at least one salty or sweet and one hydrating snack.
- Pretzels and carrot sticks
- Cheese sticks and grapes
- Granola bars and lemonade or gatorade packets
- Oreos and snap peas
- Almonds and apple slices
- Chips and veggies with hummus

Opposition Check-in Times
Saturday, August 29th
10:00 AM to 12:30 PM - It takes time to arm and process each opposition member, hence the check-in time range. Please see email from Opposition Coordinator and the parking map for more details.
There will be no walk-on Opposition. All opposition members must be registered. Youth opposition (ages 13-18) must have attended an opposition training (on July 25th or August 8th). We are still in need of male and female adult opposition members! The Opposition registration form can be found here.
Opposition Costume
- Dress in all black. Red is the accent color if you would like to use it.
- Black t-shirt or long-sleeved shirt
- Black Pants; We recommend athletic pants you won't mind getting grass stains on, preferably something that can pass as "medieval" like sweats or old Dockers. Stay away from jeans and no shorts, please.
- Comfortable closed-toed shoes
- Eye protection (sunglasses, safety glasses, etc...)
- It is recommended that men wear a cup for some extra protection.
- If desired, a bandana as a head covering, black or red is preferred.
- You may also wear black or dark-colored capes, robes, medieval-looking uniforms, headdresses, makeup, etc... Keep in mind it will likely be hot.
Opposition Packing List
Please bring the following in a backpack or bag. All personal belongings should be labeled with your name to keep them from getting lost or inadvertently stolen.

- Sunblock
- Heroic Youth approved sword if you have one (please bring extras if you are willing to share! We have markers to label them, if needed.)
- Food: Bring the food you think you’ll need. NO FOOD WILL BE PROVIDED at the event and FOOD DELIVERIES ARE NOT ALLOWED. You should start drinking water at least a couple of days before the event to prevent dehydration, even if you plan to drink plenty of water on the day of the event.
- Supplies for your opposition role, if applicable
Please Help
We need opposition members to volunteer to help take down tents and clear up the equipment after the battle is over. There will be Logistic Lead Volunteers (in vests) to help organize Opposition for these very important tasks.
